You can export the documents within a data room as a ZIP file. The export preserves the folder structure, allowing you to download a structured copy of the data room.
How to export all documents
You must have Download permission on the data room (or relevant folders/files) to export content.
To export all documents:
Open the data room
Click Export button in the navigation bar
Select ZIP file
The export will begin processing in the background.
Note: If you have a DMS enabled, you can select this as your export location
How the export works
When you start an export:
A ZIP archive is generated in the background.
The file appears in the Downloads panel once ready.
The generated ZIP file remains available for 24 hours.
If you remain on the page, the ZIP file will automatically download once it is ready.
If you navigate away, you can return to the Downloads panel to download the archive later.
Folder naming in the exported ZIP
When files are exported the folders are labelled with their index number only (for example, "1" or "3.1") rather than their folder name. Documents keep their full name (number and title) within those folders.
Tip: To match folder numbers back to their names, export the data room's document index (Excel). It lists the full folder path and title alongside each index number, so you can use it together with the ZIP export to identify folder contents.
Permission considerations
Exports always respect data room, folder and file permissions.
This means:
Only files and folders you have permission to view or download are included.
Restricted folders or documents are excluded from the ZIP archive.
Data room–level Edit permission does not override folder- or file-level restrictions.
If you do not have permission to download certain content, it will not appear in the exported archive.
