Discover how to navigate lists efficiently using the drawer, table of contents, filtering, and other additional tips

Efficient navigation within lists is helpful in managing large lists with lots of rows and columns. By utilizing features like the table of contents and applying filtering, your review and speed of workflow can be significantly enhanced. This guide provides an overview of these tools and additional tips to optimize your list navigation experience.

Note: Ctrl + F only searches the visible portion of the list, not the entire list


Drawer

The drawer gives vertical information about data in a selected row, and lets you take actions on that data. It's a great way to see nested data in a human-readable format. To open the drawer, simply click the checkbox next to any row.

When it opens, you'll see additional data about each file and comments columns in the list.

You'll see

Files

Every document in the row and every version of a document. You can also take actions on files here.

Comments

Every comment made in the row. You can also take actions on comments here.


Filtering

Filtering enables you to focus on specific data in a column based on certain criteria.

Applying filtering

  1. Click the filter icon near the top right corner of your screen, adjacent to the list columns.

  2. Filters will appear underneath each column

  3. Enter the keyword or select the criteria under the column you want to filter

Tip: You can apply filters across multiple columns simultaneously for more granular results.

The filtering you can apply depends on the column type you're filtering.

Column

Filtering options

Checkbox

Filter on checkboxes that:

  • are checked / not checked

  • are hidden / not hidden

  • have warnings / no warnings

Comments

Filter for text in comments

Date

Primary filter by:

  • Start date; or

  • End date.

Secondary filter for whether the primary filter:

  • equals a specific date

  • is in between two dates

  • is on or before a specific date

  • is on or after a specific date

File

Filter for file name of latest version

Free text

Filter for text in the column

Responsibility

Filter by multiple participants

Status

Filter on:

  • status

  • assignment

Removing filtering

  1. To remove a specific filter, click the x next to the applied filter

  2. To clear all filters, click the filter icon again


Table of contents

For extensive lists, this feature allows quick access to sections without excessive scrolling. To use it:

  1. Click the hamburger icon (☰) in the left of the top navigation bar of your list

  2. A panel will appear, displaying the first three levels of sections

  3. Click on any section or sub-section to navigate directly to that part of the list

Note: Only the first 3 levels of sections are displayed. Any lower levels aren't displayed.


Scrolling horizontally

To scroll horizontally in a list:

  • use the scroll bar at the bottom of the screen; or

  • hold the Shift key while scrolling with your mouse wheel
