During 2021, selected users have been testing the Legatics 2 platform. Feedback from our testers has been fantastic (the extra flexibility and customisation has been well received).
We have also been busy building a number of fantastic features. With these features now built, we are delighted to announce that - with version 2.4 - all of our users can now take advantage of the flexibility in the Legatics 2 platform.
This article sets out all of the features included in version 2.4 (there are quite a few!).

π Single Sign On
Your users can now seamlessly access Legatics through your existing identity provider/SSO solution, such as Azure Active Directory, Okta, OneLogin and more.

π Two factor authentication
Legatics now requires all users (unless they are logging in using SSO) to confirm their account by entering a 6 digit code sent to their registered email address.
This verifies the user's access to their email account and prevents access by someone who no longer belongs to the organisation (if their access is not proactively removed).
π DocuSign integration
When building the DocuSign integration for Legatics 2, we looked to reimagine how lawyers use and interact with DocuSign.
Specifically, we talked to users and discovered that DocuSign isn't optimised for them. You can't specify the legal entity signing the document, and it is difficult to see signing progress by party and signatory. Users also mentioned that they wanted a way to easily see just the documents being signed in their lists.
Our new signing view, together with our DocuSign integration, looks to solve these problems. With this new feature, you can:
see every document being signed, in one place
add parties and signatories to documents
seamlessly transfer documents (together with parties and signatories) to DocuSign
get real-time updates on signing progress (by party, signatory and envelope)
download signed documents to Legatics, together with the certificate of complete and document history

π New list templates
We launched Legatics 2 with 12 template lists to get users started. These have been enhanced to include over 30 templates grouped by practice areas.
These lists are a big part of our vision to enable you to run more of your transaction in one place. So start saying goodbye to separate Excel files and Word trackers, and hello to managing your transaction in one place.
Remember, you can have as many lists as you need, and each template can be completely customised after you create it.
π Legatics Administration System
Our vision for Legatics 2 is to allow you to self-serve your data needs. Thatβs why we have built the Legatics Administration System. It enables you to see lots of data on your matters (as set out below).

π Australian instance
We have developed an Australian instance of Legatics 2, which further enhances the data hosting locations available to our customers (to meet their data residency requirements).
This means that the regions we currently support are:

β»οΈ "Parties" have become "Organisations"
"Parties" was a term used in Legatics to refer to a group of users (eg "Buyer"). You could give a party a "Name" and also a "Legal entity name" (eg Buyer - Buyer SPV Limited).
We heard feedback from users that this approach didn't always work. Specifically:
Users often didn't use "legal entity name", or didn't need a legal entity name for every party
Parties have a number of legal meanings, which made the concept confusing to some users (eg is it the party to the document, or is it someone involved in the transaction)
Transactions often have multiple parties signing documents (eg Buyer SPV Limited and Buyer SPV HoldCo Limited). Users had to create new parties for them, who would then show up in status assignments and permissions, despite not having any users attached to them (which made it harder to assign statuses and set permissions).
To solve this, we have made a new distinction between "parties" and "organisations". In effect:
Organisations now perform the role that "Parties" did (ie grouping related users together).
You can give an organisation a name, and a description of what it is doing in the transaction (eg lawyers for the buyer). Organisations are added from the "Manage participants" page and show up throughout the platform.
Parties: are now strictly the legal entities or people signing documents (eg Buyer SPV Limited).
They can currently only be added in the signing view, and are not visible anywhere else in the platform.
Effectively, think of parties as the legal entities or people who appear on the first page of your agreements under the "parties" section.
This change will enable us to (in the future) report accurate data to customers on:
who is involved in the transaction (ie the organisations); and
who has signed different documents (ie the legal entities).
β οΈ Removal of "Parties" key in Word download
Previously, Word downloads included a "Parties" key. This was a table setting out a list of every organisation (formerly "Party") added to the matter.
We heard feedback from users that this was causing them issues. Specifically, they didn't want other participants in the matter to know about the existence of every organisation added to the matter.
We looked into ways to solve this, but the technical fixes proved to be complex. So, to ensure the confidentiality of your transactions, we have removed the parties key from the Word download (for now). We will look to bring this back in a future release in an improved way.
π« Improvements to matter invitation emails
The invitation emails that users receive have been improved! New users added to a matter will now always get one of two invitations. If they:
Don't have a Legatics account: They will be prompted to create an account.
Do have a Legatics account: They will be prompted to open the matter.
We have also improved the design of the emails, so that they better specify the name of the matter and the organisation who invited them to the matter. Check it out below!
βΈοΈ PDFs open in browser
Your favourite feature is back! PDFs now open directly in your browser (instead of downloading to your computer - which you can still do after it has opened in your browser).
Simply click on the icon for any PDF file to open the file in seconds.
π« Download indicator
Now, when you download a file you will see a spinning icon to show you that the download is in progress.
When you download a zip folder, you will see a notification that the download is in progress.
π Security enhancements
We take security of your data very seriously. We are always making changes to enhance security, and this release was no exception.
For security reasons, we won't say what they were. But you can always consult our Security Whitepaper to understand more about our security.
βοΈ Text changes
Words matter in law. And they matter in software.
We are always trying to improve our text copy to make Legatics more intuitive for users. Some (of the many) changes we made to improve your experience were:
"Register to access" has become "Create account"

Adding a user to an organisation sends an email to them inviting them to use the platform.
To make this clearer, the word "Add" has become "Invite".

π Bug fixes
We are always looking to make Legatics more reliable, which is why we eliminated a number of key bugs in the platform this release. Key bugs fixed were:
User's didn't always get a spinning icon when a list is loading, now they do
Email notifications sometimes didn't send if certain things happened, this is now a thing of the past
