Legatics Administration System
⏩ Performance improvements
Legatics 2 is the only transaction management platform that supports:
multiple lists
flexible columns
and more!
That's a lot of features. As happens with software, this growth was starting to slow the platform down a touch. We think platform speed is incredibly important, so we've invested in improving platform speed.
Legatics 2 is now significantly faster in all areas. So you should notice a much smoother performance!
Legatics
⬆️ Import from Word table
Want to use Legatics, but hesitant about leaving behind your favourite Word checklists? Never fear! Now your Word checklists can come on your journey to transform legal transactions.
With this feature you can:
take one of our lists (or make your own), then
import data from Word tables into that list
Learn more about how this feature works here!
⚠️ Data can (currently) only be imported into free-text columns
⬆️ Import from Excel
Are you a lawyer who uses Excel? (We know you exist, despite what people claim). No doubt you like the power that Excel offers. But, if you are like us, you're probably tired of its complexity, the inability to upload files, and the general fear others get when you send them an Excel file.
We have the answer for you. Our digital lists are built similar to Excel, but with features designed for the modern lawyer (like dedicated file and comments columns, and intuitive signing).
With this feature you can now:
take one of our lists (or make your own), then
import data from your Excel files into your list
Learn more about how this feature works here!
⚠️ Data can (currently) only be imported into free-text columns
🚉 Start from another list
Do you reuse Word checklists across deals? We did when we were lawyers (and it was a great way to get started!). With this feature, you'll basically be able to do that, but in Legatics!
Specifically, you can create a list based off one in:
a previous matter
the same matter
So, say goodbye to manual list creation, and hello to reusing your favourite lists.
Read this help article to learn how to get started!
⚠️ Note that:
You need to be the matter administrator to start from a list in another matter
Permissions and status assignments from lists in other matters can't be copied across (because the participants are different).
👀 Multiple DocuSign accounts
Maybe you have different DocuSign accounts for different regions. Maybe you also want to connect demo DocuSign accounts (for user testing) and your production account for live matters.
Either way, all of this is now possible! With this feature:
you can add multiple developer or production DocuSign accounts to your Legatics environment
once added, users can choose what DocuSign account their documents should be sent to
To add another account to your Legatics environment (or add your first one), follow the instructions set out here.
⚠️ Please note:
Developer DocuSign accounts are now only visible in demonstration matters
This is so users don't accidently send actual contracts to a developer environment.
As a result, if you only have a DocuSign demo account connected to Legatics, you won't see the DocuSign integration in any "live" Legatics matters.
Production DocuSign accounts are visible in demonstration matters: We heard from customers that only production accounts are used for testing, so we wanted to make sure you could still use our demo matters for testing!
Users will see all DocuSign accounts you connect to Legatics: So you may need to do some internal training to help users understand what your different accounts should be used for.
✉️ DocuSign email templates
Do you have standard signing instructions, and want to get them directly to your lawyers? That problem is now a thing of the past!
Basically, how this feature works is:
You give us your standard template wording
We apply that to your DocuSign account
When lawyers create an envelope from Legatics, your standard wording is applied to DocuSign envelopes created from Legatics
This way:
Lawyers don't have to search internal systems for signing instructions
You can rest easy that they are using your standard wording!
To add an email template to your DocuSign account, please follow the instructions set out here.
🏛️ Select columns to include in Word downloads
Previously, the Word download feature downloaded all data in your list. We've heard from users that they've been taking advantage of Legatics 2's flexibility to create hidden columns, which they don't want to include in the download.
Now you have full flexibility to specify the columns you want to include in your download.
⚠️ File columns aren't included in Word downloads
📤 Word download improvements
File name: We used to include underscores in the file name, which was a little messy. We've tided this up. Downloads now follow this format
Matter name
-list name
(download time
) (eg Project Legatics - Documents list (5 May 2022 @ 16:42)
Number of items in a status: We include a "status table" in the Word download. This table now includes the:
Highlighting removed on statuses: We used to highlight the text of the status (as well as colour the cell with the statuses colour). This made it harder to read the status, so we removed the highlighting.
Removed the name of the list: We repeated the name of the list above the table containing the list data. But everyone has the name of the list on the front-page and in the header, so it was somewhat superfluous.
✔️ Remember that your Word downloads can be fully customised. Check out everything you can do here.
🎛️ Table of contents
Navigating a long list just got simpler! Simply press on the "hamburger" icon in your list to see the structure of the sections in your list.
⚠️ Please note that
rows aren't displayed
only the first three sections in your list are displayed
🆕 Online roadmap
The "Give feedback" button in the platform used to direct you to a (rather ugly) form. We've significantly improved that.
Now every user can simply press on "Request feature" and they will be taken to our Online Roadmap. Here you can:
give feedback on ideas
give feedback on what's coming
see what's been released
submit a new idea
The more feedback you give, the better we can make Legatics work for you!
🎨 User experience improvements
Sometimes it's easy to get wrapped up in big new features. We get it, they are exciting and new.
But progress is often best made by small improvements, ones that iron out the crinkles and make the platform more intuitive. Improvements to your experience in this release are:
Version numbers on files + improved file icons
You can now see what your version number in your list, and we've updated the file icons so the file type of each version is clearer!
Settings icon in lists
You can now use this icon to change your lists name, or find the list ID in case you need support from us |
|
Permissions modal size
We've expanded this modal, so you no longer need to scroll when setting permissions.
Permissions icon in list
Previously, you could only set your list permissions from the overview screen. You can now do it directly in a list, and see if the list is restricted!" |
|
Permissions icons on columns
Previously, you weren't always aware if columns had permissions applied. Now you will always know! |
|
Permissions icons on rows and sections
Previously, you weren't always aware if rows and sections had permissions applied. Now you will always know!
Audit trail as a permanent navigation item
The audit trail was right next to your lists.
It's now being given a dedicated home near the other matter management options |
|
File and comments timestamps
This used to specify when the file/comment was added (eg 5 days ago).
We heard feedback, that people wanted the specific date the comments/file was uploaded, and that's what we have done!
| |
Delete modals
Some of our delete modals had blue confirmation buttons. We've changed this so that all delete modals have red confirmation buttons! |
|
404 error screen
This screen appears when a page doesn't exist (or you have a link to a page you aren't allowed to view).
We've made this much more user friendly! |
|
500 error screen
This screen appears when something went wrong on our end.
We've made this much more user friendly! |
|
Increased row limitation in the legal text importer | Previously, you could only import 150 rows of text.
Now you can import 500! |
✏️ Text improvements
Words matter in law. And they matter in software.
We're always improving our text copy to make Legatics more intuitive. This release was the exception. We didn't just improve the text copy, we somewhat overhauled it!
You should notice that text is now shorter, more consistent and easier to read.
Some key improvements were:
The text in the matter opening screen is much shorter and clearer
"Access control" and "permissions" were used interchangeably. It's now just "permissions"!
The hover text in the permissions icon clearly states what each permission does
Text in most modals has been shortened, and button options made consistent
"Administer matters" and "Administer users" has become "Matters" and "Users"
We made it clearer when a user is deleting a version, or the entire document
The text in our emails has been overhauled to make it easier to understand what you need to do next
🐛 Bug fixes
We are always looking to make Legatics more reliable, which is why we eliminated a number of key bugs in this release.
You couldn't see all timezones in your account (you could only find them by searching for them). Now all timezones appears in the drop-down
You often got dropped out of the settings widget when making changes (like deleting a status). You now stay in one place, so you can make all of your changes
When searching for items, sections wouldn't expand if they were already collapsed. Now they do!
An error would occur if generating a closing set from a list with more than 60 rows (the closing set would be created, but still that was annoying).
Notifications sometimes got stuck depending on your settings. They are now unstuck.
Comments in the sidebar were arranged oldest > newest, but in the column were arranged newest > oldest. This inconsistency is gone. Comments always appear newest > oldest.
The checkbox column in your Word download wasn't capitalised, it now is
Legatics Administration System
Our vision for Legatics 2 is to allow you to self-serve your data needs. That’s why we have built the Legatics Administration System. It enables you to see lots of data on your matters and users.
We've made some important changes to this system. Read on to learn about them!
If you want to become a Legatics Administrator, check internally if someone already has this role. If so, they can add you as a Legatics Administrator.
If no-one has this role, please contact our team at support@legatics.com to get set-up.
✉️ Email notifications for new matters
We know that you need to keep on-top of new matters.
That's why every Legatics Administrator now receives an email notification when a new matter is created.
🔗 Additional data points
Last activity (matters) | The last date when any user viewed the matter or performed an action in the matter. This should help you identify what matters are in constant use! |
Last active (users) | The last date when your users had an active session on Legatics (ie the last time they were in the application) |
📤 Export data
All of the data about your Matters and Users can now be downloaded into a CSV file! We hope that this helps you visualise how Legatics is growing at your company, and where the power users are!
⚠️ Delineation of data: The data points set out below are "nested". To delineate this nested data, we use the "|" symbol. This will help a visualisation tool (like PowerBi) read the data and keep it nested.
