Importing list files into a binder

Combine files from multiple lists into one binder

You can quickly combine files in multiple lists by importing a list into your binder. This lets you take advantage of the file organisation already in your matter - and gives you flexibility in how much of that structure you bring across.

Prerequisites: You're a Matter Admin


How to import list files into a binder

  1. In your binder, click the More actions menu (⋯) at the top right

  2. Select Import files from list

  3. Choose the list you want to import from

  4. Choose what file columns from the list you want to include

  5. Decide whether to copy across the section structure of the files

  6. Click Import

The Import button will show a spinner while the process starts. Once it’s ready, you’ll be taken to your binder and files will be copying

Note:

  • Files are copied when they're imported to your binder

  • Permissions aren't copied. Any user with view permission on the binder will be able to see a file, even if they can't see it in the list.

  • You can only select lists from the current matter.

  • Each import is limited to one list. To import multiple lists, do multiple imports.

  • You can't currently do the following actions (let us know if you're interested in them):

    • select specific files to add to a binder

    • bring other data from the list into the binder


Import behaviour

Files are copied

When you import files from list, they are copied (ie duplicated). This means that:

  • No links are kept between the files in the list and the files in the binder. Changes in one place won’t affect the other

  • Only the latest version of each file is added

  • iManage and NetDocuments links are not copied across

  • Any permissions on the file in the list do not carry over. Anyone who can view a binder can see everything inside the binder.

File order in the binder

Files are imported in the same order as they appear in the list, based on:

  1. Top to bottom: down the rows of the first selected file column.

  2. Left to right: across any selected file columns in the same row.

If section structure is copied, this order is preserved within each section.

Include section structure

If you choose to include section structure:

  • Sections from the list will be recreated in the binder.

  • Files will be nested in their existing sections.

  • Section levels above 3 will be flattened to level 3.

  • Files within sections above level 4 will be flattened to level 4.

If you choose not to copy the section structure, all files will be added to Level 1 of the binder, and no sections will be created.
