File permissions allow you to restrict which matter participants can view, manage or upload files to a list. This gives you more control over uploaded files and ensures that participants can only access what they need to.

Manage permissions for the whole file column
⚠️ Important: If a participant has Edit list permissions, this will override any permissions you apply to the comments column.
You can restrict file permissions for a whole file column by following the steps below:
Hover over a file column, click on the cog icon and select 'Permissions'.
Select or deselect checkboxes under each permission column, such as 'view', to manage which participants have certain permissions.
To give all participants a permission, select the 'global' checkbox.
Remember to press 'save' to apply any changes that you have made.

View | Set who can view the column. |
Manage all | Participants with this access can edit all files names in a file column, regardless of who uploaded it. |
Manage own | Participants can edit names of files uploaded by themselves or uploaded by others in their organisation. |
Change permissions | If participants also have 'manage all' access, they can change individual file permissions for all files in the column. |
Upload | Set who can upload files to the column. |
Manage permissions for individual files
Certain files uploaded to a column may need to be restricted.
Click to add a new file or drag and drop a file in the file column.
Click on 'Permissions' to change permissions.
Select or deselect the checkboxes beside participants in the pop-up to choose who can view the version you are uploading. Remember to press 'save' to make any changes live.
Once you are happy with the permissions, click on 'upload'.
If you want to save the version permissions for subsequent versions you upload, select the box to apply the same settings until the page is refreshed.
You can change who can view a file at any time by clicking on the padlock icon and selecting or deselecting the relevant participants.
