Legatics integrates seamlessly with NetDocuments. The integration saves time, reduces duplicate efforts, and ensure that your files are organized and accessible from matters in Legatics.
Files are managed from multiple places in Legatics. This guide explains how users interact with the integration and how to make the most of it.
Authentication
Before interacting with the integration, users must authenticate with their NetDocuments credentials. The authentication process (including session length) relies on the setup configured in NetDocuments, such as single sign-on (SSO) or individual user credentials, to maintain consistency and security across platforms.
File selection
File selection refers to the process by which users save files to NetDocuments, or get files from NetDocuments to put into Legatics.
Single repository connected
If only one NetDocuments repository is connected, users will see NetDocuments as an option when working with files in Legatics.
Multiple repositories connected
If multiple repositories are connected to Legatics, users see the name of the repositories connected to Legatics and can decide what one to interact with.
Selecting files
After selecting one of these options, the user saves or gets files using a Legatics generated file picker. This file picker gives access to the user's cabinets and workspaces, and enables filtering and searching of documents, as well as metadata about those documents.
Files available for selection
Files available for selection are limited to what the user can access in NetDocuments. This ensures that file visibility is consistent and secure, maintaining strict control over sensitive information.
Files are copied and linked
When you transfer a file from NetDocuments into Legatics, a copy of the file is created and stored within the platform. Additionally, Legatics stores a link back to the original file in NetDocuments, allowing users to easily reference or access the source document.
This ensures that the file remains available and manageable within your list while maintaining a connection to the original version in NetDocuments for further actions or context. This approach balances flexibility with seamless integration, keeping your workflows efficient and secure.
Identifying files linked to NetDocuments
Files in Legatics that are also stored in NetDocuments are clearly labeled. This labeling ensures users can easily identify if files in Legatics are also in NetDocuments.
Note: This labelling is only visible to your Members. No other participants see them.
Tip: When linked, Members can click on the NetDocuments icon or open in NetDocuments to open the file in NetDocuments
From grid of list
If working in the list, an icon appears next to the document if the latest version is in NetDocuments.
From drawer of list
If working in the drawer, users can see the document ID in NetDocuments, and can check if different versions are in NetDocuments.
No automatic sync
Legatics does not automatically sync files with NetDocuments to ensure that draft versions or sensitive updates are not accidentally shared with other users. This approach allows users to maintain full control over which files are uploaded and shared within the platform. By requiring a positive decision to upload a file, Legatics ensures that only finalized or intentionally shared documents are made accessible, reducing the risk of unintended exposure.
