Importing folder structures

Recreate or generate a structured folder hierarchy using a ZIP file or Excel import

Importing folder structures allows you to quickly establish a structured data room layout. You can either recreate an existing folder hierarchy using a ZIP file, or generate a new structure using an Excel template.

This article covers structure imports only. For uploading individual documents or managing folders manually, see Managing documents and folders.

Note: To upload files or folders, you must have Upload permission on the data room or relevant folder.


Import a ZIP file (recreate an existing structure)

If you have an existing structured document set, you can upload it as a ZIP file to recreate the folder hierarchy in your data room.

When the ZIP file is processed:

  • The entire folder structure is recreated

  • Files are placed into their corresponding folders

  • If numbering is enabled, it is applied automatically based on the resulting structure

Tip: This is the fastest way to replicate an existing transaction folder set inside Legatics

How to import a ZIP file:

  1. Navigate to the desired location (root or specific folder)

  2. Click Upload in the navigation bar

  3. Select ZIP file

  4. Choose the source (My computer or DMS)

  5. Select the ZIP file

  6. Confirm the upload

The 2GB limit applies per individual file within the ZIP, not to the ZIP file itself.


Import an Excel folder structure

You can import an Excel file to generate a structured folder hierarchy without uploading documents.

When importing from Excel:

  • Folders listed in the spreadsheet are created.

  • The numbering determines the hierarchy and position of folders and subfolders.

  • No files are created during this process, only folders.

This method is useful when you want to define your data room structure before uploading content.

How to import an Excel folder structure:

  1. Navigate to the desired location (root or specific folder)

  2. Click Upload in the navigation bar

  3. Select Excel folder structure

  4. Choose the source (My computer or DMS)

  5. Select the Excel file

  6. Confirm the upload


Excel template requirements

To ensure a successful import, your Excel file must:

  • Contain only two columns:

    • Number

    • Folder Name

  • Use sequential numbering.

  • Contain numbers only in the Number column (no letters).

  • Avoid merged cells.

Note: If the format does not meet these requirements, the import will fail.


After importing a structure

Once the folder hierarchy is created:

  • You can upload documents into the new folders.

  • You can reorder folders using drag and drop.

  • Permissions can be applied at data room, folder or file level.
