Learn how your signing is progressing

Every list has a signing view, that lets you track the signing status of every:

  • document you mark for signing

  • party and signatory you added to the document.

Statuses update based on the signing method you choose (DocuSign or Wet-ink). This article explains the different statuses you will see.


Signing methods

The statuses you see depend on the signing method you use. Legatics currently has two signing methods:

Wet-ink

Allows you to manually track the signing status of each document and signatory.

DocuSign

Allows you to send documents to your DocuSign account.

If you send a document to DocuSign, then the statuses are automatically generated by DocuSign (and displayed in Legatics).

Not sent

"Not sent" is the default state of every document added to the signing view.

Sent

You've sent the document for signing

Ready to collate

You've received signed pages for every signatory, but haven't collated them into the "execution version".

Signed

You've collated all the signed pages and have an "executed version" of the document.

Signatories

Status

Explanation

Not sent

"Not sent" is the default state of every signatory added to a document.

Sent

You've sent the signature page for the signatory for signing.

Signed

The signatory has signed their signature page.

Automatic status changes

Statuses will automatically change with certain changes to document/signatory statuses

DocuSign

Documents being signed in DocuSign have a "DocuSign logo" on the document and the statuses can't be manually changed.

Legatics automatically syncs envelope and signatory statuses from DocuSign. It can take up to 1 minute before changes in DocuSign are reflected in Legatics. Visit this DocuSign help article to learn more additional DocuSign envelope statuses.

Envelopes

DocuSign groups documents you send into 'envelopes'. So any DocuSign statuses will be displayed for the envelope, not the individual documents within the envelope.

So all signatories may have a status of "Signed", but the envelope status is not "Ready to download". This is because there are additional actions for the envelope that need to be completed.

Not sent

"Not sent" is the default state of every document added to the signing view.

Envelope created

The document has been sent to DocuSign but hasn't been sent from DocuSign to any recipients

Sent

The envelope containing the document has been sent to at least one recipient

Delivered

All recipients have viewed the documents in the envelope

Voided

The sender cancelled the envelope before it was completed

Ready to download

The envelope containing the document is "Complete" (i.e., all of the recipients have completed their actions for the envelope containing the document) and ready to be downloaded to Legatics

Signed

The signed document has been downloaded from DocuSign to Legatics

Signatories

Status

Explanation

Not sent

"Not sent" is the default state of every signatory added to a document.

Envelope created

The document that the signatory is signing has been sent to DocuSign, but hasn't been sent to the signatory

Sent

The envelope containing the document has been sent to the signatory

Delivered

The signatory has viewed the envelope containing the document

Declined

The signatory declined to sign their documents in the envelope

Signed

The signatory has completed their actions for the envelope
