Learn how System Admins can control Member permissions within Legatics

Updated over a month ago

As a System Admin in Legatics, you have the authority to assign specific roles to users, tailoring their access to align with organizational requirements. This guide provides a step-by-step process for reviewing the roles and outlines best practices to ensure secure and efficient management.

Admins available

Legatics has the following Admin roles available.

System Admin

Allows a Member to access the administration system (excluding matter templates and list templates).

Template Admin

Allows a Member to manage matter templates and list templates.

Matter Admin

The matter admin is a user with full read and edit rights for all the data in a matter. They are responsible managing the matter. Learn more about what they do here.

Viewing Admins

We've got a dedicated page to help you work with each of these roles. To get there, simply go to Firm > Admin in the sidebar. You'll then see a page with 3 tabs, one for each of the Admins noted above.

Adding Admins

You can add a System Admin or a Template Admin from this page by following these steps:

  • Navigate to the tab for the role you want to assign:

  • In the top right corner of the screen, click Add System Admin or Add Template Admin (depending on the selected role)

  • In the pop-up window that appears:

    • Search for the Member you want to assign the role to

    • Click Add as Admin

  • Repeat the steps above to assign additional Members as needed

Good to know

  • You can also do this work from the Members page

  • The user must refresh Legatics to see the new functionality

  • System Admins are notified by email when a new one is added.

Heads-up: You can't add Matter Admins from this page. To add a Matter Admin, follow these steps.

Removing Admins

You can remove System Admin, Template Admin or Matter Admin from this page by following these steps:

  • Navigate to the tab for the role you want to assign:

  • Find the user you want to remove and click the bin icon on the far right of their name

  • In the pop-up window that appears, confirm your action

Good to know

  • When you remove a Matter Admin, you're deactivating them

  • System Admins are notified by email when one is removed

Best practice

  • Regular Audits: Periodically review user permissions to ensure they align with current organizational needs and remove unnecessary permissions to reduce security risks.

  • Documentation: Maintain clear records of roles and associated permissions, detailing responsibilities and access levels for each role.

  • Utilize the Users Report: Leverage the Users Report to quickly view permissions granted to each member, facilitating efficient audits
