Statuses in Legatics provide a powerful way to track progress and manage tasks within your lists. By assigning clear, customizable statuses to each row, you can easily monitor workflows, identify priorities, and keep your team aligned. This guide will walk you through setting up statuses, configuring specific settings, and making updates to ensure your lists stay organized and up-to-date.
Status interactions
Statuses in your matter interact with your matter in a number of ways. They determine if:
Emails are sent: a user is sent the status assignment email, which notifies participants about statuses assigned to them since their last email
Widget on dashboard: the widget for the list on the dashboard shows a battery bar and summary of statuses
Row fill: Your row is filled with the colour of the status
Setting statuses
Prerequisites: You need:
the change status permission for the status column you're editing; and
the set status permissions for the status you want to set
Changing statuses
Click on the status you want to update
Click on the status in the pop-up
Choose the appropriate status from the dropdown menu
The status will be automatically saved once selected
Tip: If you've only got one status column in your list, the entire row will be filled with the colour of the status
Assigning statuses to participants
If participant assignment is allowed for a status, you can assign it to one or more participants to track progress and communicate who a task is waiting on. To do this:
Click on the status you want to update
Click on action required by below the name of the status
Select the appropriate participant from the dropdown menu
Click outside to save
Note: When you assign a participant to a status:
all participants you assigned will have this assignment included in the status assignment email
the widget for the list on the dashboard shows that the participant is responsible for the status
Editing statuses
Prerequisites: You need the:
the change status permission for the status column you're editing
edit list permission for the list you're working in
Editing is done from the status editor. To open it, you need to:
Click on any status in the column you want to update
Click on the status in the pop-up
Select edit statuses from the menu
This pop-up will appear, letting you take the actions below.
Add status
Open the status editor (see above)
Enter the name of the status in the Add status box at the bottom
Press the plus button to add your status
Change status colour
Open the status editor (see above)
Click on the colour bar at the left of the status' name
Select your colour and press Pick colour to save
Reorder status
Open the status editor (see above)
Click and hold the two dot icon to the left of the status' name
Drag the status into the desired location, and click to release
Note: The order of your statuses are reflected in the dashboard
Rename status
Open the status editor (see above)
Hover over the status you want to rename
Click on the pen icon
Update your text and press enter or click outside to save
Participant assignment
Open the status editor (see above)
Hover over the status you want to rename
Click on the icon with a person
The below options appear in a drop-down. Select the option you want.

Refer to checkboxes for participant | The dashboard list widget for this status will show assignment by reference to progress of checkboxes assigned to participants (instead of by reference to status assignment)
See the example below to understand this better. |
Example:
You have a status "To be approved" with checkboxes assigned to 4 participants and two of those checkboxes ticked
If refer to checkboxes for participant is selected, the dashboard will show the names of the 2 participants who still have to check a box in the row
Delete status
Open the status editor (see above)
Hover over the status you want to rename
Click on the bin icon
In the pop-up, press Delete status to confirm deletion
Update who can set a status
Open the status editor (see above)
Hover over the status you want to rename
Click on the padlock icon
In the pop-up, select the participants who can set this status
If unticked, users won't be able to change a status to this status
Set automatic actions
You can have certain statuses automatically applied when certain actions happen (see below). To do this:
Open the status editor (see above)
Press set automatic actions at the bottom of the editor
You can then:
toggle on/off automatic actions
set the status and status assignment to apply when the automatic action is triggered
Press save to update your changes
