Remove matters access from users

As a System Administrator, it's important that you have control over who can access your data. Our "deactivation" feature gives you this control and ensures that your data is secure and only accessible to those you trust.


What does this feature do?


Deactivation

When a user is deactivated, the following will happen:

  • The user is removed from every matter they can access

  • If the user is a member, they lose all permissions granted to them (eg create matters, template admin or system admin)

  • The user can't be added to matters

  • The user will appear in the "Deactivated" table

When you do this, the audit trail in the:

  • Admin System records who you deactivated

  • Matter will record that you removed them from the matter (the words "system admin" is added after your name)

A deactivated user can still log into Legatics. This is because they may have access to another customer's matters.

Activation

When a deactivated user is activated, the following will happen:

  • If the user is a Member, they:

    • can be added to matters

    • can create matters and be granted permissions (eg template admin or system admin)

    • will appear in the "Members" table

  • If the user is a Guest, they:

    • can be added to matters

    • won't appear in the "Guests" table (as they have no access to your matters)

User's don't automatically get re-added to matters, or get their Member permissions returned to them. This needs to be manually done.

When you do this, the audit trail in the Admin System records who you activated.


How to deactivate users


Step 1: Click "Users" in the sidebar


Step 2: Find the user in the "Members" or "Guests" tab, click on the three dots, and select 'Deactivate'.

You currently can't filter or search for users (learn why here).

The table is sorted by user name (A > Z). This can help to pinpoint the page to look for. You can also use the "Ctrl"+"F" key combination to search through all the data on the page (this won't search across paginated pages).


Step 3: Confirm the deactivation when prompted

Click 'Deactivate' and the user will be deactivated.

Step 4: Check the deactivated user

Once a user is deactivated a pop-up message will appear at the bottom-right of the page.

You can double-check if the user is deactivated if you click the "Deactivated" tab within the Users group.


How to activate users


Step 1: Click "Users" in the sidebar
