iManage integration, signing improvements and more!

We are excited to announce the release of iManage, together with improvements to your signing experience and small (but impactful) user experience improvements.

Overall, this release represents a significant step forward in our efforts to provide users with a seamless document management and signature solution. We're excited to see how these new features and improvements will enhance your productivity and workflow.

Legatics now seamlessly integrates with iManage Work (both on-premise and cloud)! By connecting iManage with Legatics, you can

Upload from iManage

You can upload documents from iManage from a number of places, including:

Save to iManage

If a document has been uploaded to Legatics, you can save it to iManage as a new version of an existing document or as a entirely new document

You can also save your zip downloads to iManage!

iManage icon, IDs and links

We heard from users that "auto-syncing" documents to iManage was a step too far. But you were worried about knowing:

  • whether a version was saved to iManage

  • the ID of documents saved to iManage

To resolve these concerns, if a version's been uploaded from iManage, or saved to iManage, then you'll see:

  • an iManage icon so you know the version is safely in iManage (note: clicking on the icon takes you to the document in iManage)

  • the document ID so you can easily reference the document in iManage

  • every link to where the document is stored in iManage

Other

  • Test users: When setting up the integration, we can enable it for selected users. This allows you to ensure the integration is working before rolling it out to your user base.

  • Multiple endpoints: When configuring iManage, you can make the:

    • iManage's Universal API accessible to Legatics

    • iManage file picker and authentication endpoints accessible only from within your network

  • Available on other customer's matters: You can use the iManage integration on matters you create, and matters created by other customers. (You'll only ever connect to your iManage, don't worry!)


πŸ“ Signing improvements


The feature set in this release represents "Step 1" towards our game-changing wet-ink solution. As a next step, we're working on letting you create PDF signature packs in Legatics. So watch this space!

Signing view visible without DocuSign

Our signing view was previously only visible if DocuSign was turned on. To enable the signing view to work with wet-ink documents, we needed to change that!

Now you always see the signing view, even if you don't have DocuSign turned on (and even if you do).

Change status of documents and parties/signatories

Say goodbye to manually tracking signing in a separate Word document!

You can now manually change the status of documents and signatories! We've also implemented automatic actions for certain status changes, so you can work faster!

"View" and "Edit" permissions

Delegate signing administration and/or let others see signing progress

Previously, the signing view was only accessible to the Matter Administrator. So if you wanted someone to manage signing, but not any other part of your matter, you couldn't πŸ€’

Also, you couldn't easily let clients or other parties see signing progress (or check that parties/signatories were correct).

These problems are no more! From your list, you can now let other users view or edit the signing view for that list.

This way, signing work can be delegated to juniors while Matter Admins retain ultimate control over the matter. And progress can be easily communicated (in a self-service way).

Other

  • Text changes for DocuSign documents: To improve your experience, and harmonise the DocuSign flow with non DocuSign documents, the text for the following DocuSign statues have changed:

    • Completed > Ready for download

    • Downloaded > Signed

  • Removed the file extension: This was displayed for every document (eg SPA.pdf). We have an icon for the file type, so we removed this text to clean-up the view

  • Icon for documents signed with DocuSign: To visually separate the signing method, all DocuSign signed documents have an icon (to show it was signed in DocuSign)

  • Download latest version from signing view: Just press on the file icon, and the version downloads. Magic!


🎨 User experience improvements


Sometimes it's easy to get wrapped up in big new features. We get it, they are exciting and new. But progress is often best made by small improvements, ones that iron out the crinkles and make the platform more intuitive.

File context menu

We used hover icons to display actions on files. There was no room to grow with these icons, so we've switched them out for a context menu. Hopefully it helps you visualise the actions better!

Visual improvements

We've shrunk the text a little, to help you see more information on the screen. This has also sharpened the text, so Legatics looks cleaner than ever. In addition:

  • All radio buttons are now a standard circle design (instead of a square)

  • The checkboxes in your list now has a white fill (instead of a grey one).

  • Tick boxes are coloured blue (instead of black and white)

Separation of live and demo matters

Previously, your demo and live matters were mixed together. Now, you easily distinguish between them. By keeping these separate, you can avoid confusion and ensure that you're focusing on the live matters that need to complete.

New mandatory fields when creating matters

Previously, only a few of the fields in the "Create matter" window were mandatory. Now all of them are! (With the exception of "Other offices").

Visual separation of "Step" cards

When you create a matter, there are three cards "stepping out" what you could do next. These cards looked exactly like our dashboard widgets, and confused users. So we've visually separated these steps cards to improve your experience.

Clarity when you're in the "view as" mode

Our "view as" feature helps you visually see how Legatics looks to someone else. But it wasn't always easy to know when you were in the mode! So we've added a bar at the top of your screen, to make this mode very clear!

Other

  • Improvements to empty screens: There were a few screens that were sub-optimal when they were empty (they just had text like "No rows"). We've improved them, to improve your experience!

  • Statuses with "No status": These showed up with "No status", but what you really need to do is select a status. So we changed the text to "Select status", and made it look like a button!

  • Size of X button on toasters: This is now much larger! Hopefully it helps you get your work done just a little bit faster.

  • Spinner when creating matters: When you created a matter, a loading spinner would appear across your "My matters" page. This was a little sub-optimal. The "Create matter" button now spins until your matter is ready!


✏️ Text improvements


Words matter in law. And they matter in software. So we're always optimising our text copy to make Legatics more intuitive.

Some key improvements were:

  • The permission on documents said "View files". It's now "View version", as the permission controls who can see a specific version

  • Changed the name of the first role that's created from "Matter administrator" to "Lawyers"

  • Removed some superfluous text from the account creation screen

  • Simplified lots of text in the import tool (specifically when you're defining terms)

  • Updated some error messages, so they better inform you what went wrong, and how you can fix it

  • Specified that uploading a new file from the sidebar uploads the first version of a document (not the next version of an existing document)


πŸ› Bug fixes


We squashed a number of bugs in this release.

  • The dashboard displayed completed items first. That made it harder to see what needs to be done. So "not completed" items now come first.

  • In certain circumstances, users could remove checkboxes. Now they can't (only the matter administrator can)

  • The "status" dots in the signing view were slightly different sizes

  • The "title" column in your Word index was moving to the file column's location. Now it doesn't.

  • The Word index included in your zip download didn't have a line break between multiple files in the same row, now it does!

  • Promoting a previous version of a file crashed your page if a new version was uploading. Now you can't promote until the new version is uploaded!

  • Sometimes the audit trail didn't load, now it does.
