Legatics streamlines the creation of PDF signature packs by leveraging artificial intelligence to identify signature pages and facilitating the assignment of parties and signatories. This process significantly reduces the time and effort traditionally required, enabling you to produce organized signature packs in minutes rather than hours.
Prerequisites: You're a Matter Admin or have the edit signing list permission for the specific list
Creating signature packs
Good to know: You can't add parties or signatories when you're creating signature packs. So make sure you've got them added before you start this process.
Step 1: Select your documents
Note: You can only select documents:
that are PDF files without password protection
with a signing status of Not sent
with 1 or more parties
Go the list where your document is located
Navigate to the signing view
Select the documents you want to create signature packs for
Click Actions and choose Create signature pack
Note: After you press this button, the following actions are blocked on the document:
Uploading new versions
Deleting this version or all versions
Promoting versions
Renaming versions
Changing document or signatory status
Step 2: Identify signature pages
Our AI will automatically detect potential signature pages
Review the AI's selections and if necessary, manually adjust by toggling the signature page indicator in the right panel
Step 3: Assign parties and signatories
For each identified signature page, assign the parties and signatories by pressing on their name.
Tip: Pressing on a signatory will automatically select the party
Step 4: Review your work
It's important to check you've got every signature page. A great way to do this is by filtering on the thumbnails to only see signature pages you've identified.
Step 5: Download your packs
Once satisfied with the assignments:
Click Create signature packs in the bottom bar
In the pop-up, choose whether to include the full documents with your signature packs and if you want to rename the files based on the data in the title column of your list
Press Download
Tip: For deeds under UK law, select Include documents
The packs will download to your computer, and the status of each party and signatory will change to Extracted
Step 6: Send your packs
Take your downloaded signature packs and distribute them by your email. When you do, make sure to update the signing statuses to sent.
Note: Legatics doesn't email the signature packs to signatories. If this is something you're interested in, let us know.

Are there any file size restrictions?
Legatics restricts files to 2GB. So any files larger than this can't be used to create signature packs. We've tested performance on lots of files (of different sizes) and have generally found it to be satisfactory.
As you would expect, the more files you have (and the larger they are), the longer it will take them to display. This also depends on your internet speed and your processing power.

No, Legatics does not impose a specific limit on the number of documents you can include when creating signature packs. However, it's important to note that processing time may increase with a larger number of documents or larger file sizes. Legatics restricts other users from deleting your files during the pack creation process; however, this protection does not extend to deletions of the row, column, list, or matter containing the files.

No, when a user is creating a signature pack, the documents involved are marked as "Tagging," preventing others from performing certain actions on those documents, including:
File actions
Uploading new versions
Deleting the version being used
Deleting all versions
Promoting the version

Removing from signing view
Editing parties/signatories
Changing document/signatory status

Yes, the signature pages you specify and the parties/signatories you assign to those pages are automatically saved as you work. If you complete these steps but donβt immediately create a signature pack, your progress will be preserved for the next time you generate a pack from the same documents.
However, this saved work will not carry over if a new version of the document is uploaded. In such cases, youβll need to reassign the signature pages and parties/signatories for the updated version.

Not always. The AI is trained on a wide set of data, but signature pages can be very different. If our AI isn't identifying your signature pages, reach out to us at support@legatics.com with some examples and we can look into this for you.

No. You'll need to make sure you de-select any such pages it identifies.
