Our signing view enables you to set the parties and signatories responsible for executing documents. This guide provides step-by-step instructions for adding, editing, and removing parties and signatories, ensuring you're ready to go when it comes to signing your documents.

Understanding parties and signatories
In Legatics, managing the signing process involves two key elements: Parties and Signatories. Here’s a quick overview of what each term means and their roles in the signing process.
Parties
Parties represent the legal entities or individuals that are entering into the agreement. They are the legal entities or persons whose names appear as part of the contract or agreement.
Examples
A corporation, such as "Acme Ltd."
An individual, such as "John Doe."
Tip: Each party can have one or more signatories
Caution: Parties often get a defined term in an agreement (eg Buyer, Seller, Borrower or Lender). Don't use these terms to name your parties in Legatics. Use the full legal entity name.
Signatories
Signatories are the individuals who sign on behalf of a party. They may be authorized representatives, directors, or legal agents responsible for executing the document.
Examples
A CEO signing on behalf of "Acme Ltd."
An individual signing in their personal capacity as "John Doe".
Tip: A signatory can be assigned to multiple parties
Working with parties
Adding parties to a document
Navigate to the document in the signing view
If your document:
has no parties, press the Add parties button on the document
already has a party, press Actions > Edit parties
Select the parties you need from the pop-up that appears
If you need to create a new party press Create party at the bottom of the pop-up and add a person or a legal entity (this will add the new party to the document)
Press Save to update the parties
Removing parties from a document
Navigate to the document in the signing view
Press Actions > Edit parties
Find the parties you want to remove and press x next to their name
Press Save to update the parties
Caution: This will also delete all signatories assigned to that party for the document
Renaming a party
Navigate to the signing view
Find any document that has the party you want to rename
Hover over the parties name and press the pen icon
Rename the party
Click outside or press enter to save your changes
Caution: This will rename the party across the entire matter
Deleting a party
It isn't currently possible to delete a party.
Working with signatories

Navigate to the document in the signing view
Hover over the signatory column for the party you want to add signatories for
Press the edit signatories button that appears
Select the individuals you need from the pop-up that appears
If you need to create a new signatory press Add new signatory at the bottom of the pop-up and add their name and email (optional)
Press Save to update the signatories
Removing signatories from a party
Navigate to the document in the signing view
Hover over the signatory column for the party you want to add signatories for
Press the edit signatories button that appears
Find the signatories you want to remove and press x next to their name
Press Save to update the signatories
Renaming a signatory and updating their email
Navigate to the signing view
Find any document that has the signatory you want to rename
Hover over the signatories name and press the pen icon
Rename the signatory and change their email in the pop-up that appears
Press save to update the signatories details
Deleting a signatory
It isn't currently possible to delete a signatory.

the document has been sent to Docusign
the document was signed using Docusign
the document is being collated into an executed version

Do I have to add parties and signatories to documents?
Do I have to add parties and signatories to documents?
Yes and no.
If you're only signing with DocuSign, you don't have to. But we recommend that you do, as it will help you setup your envelope faster and make it easier to track signing progress by party and signatory.
If you're signing with wet-ink, it's highly recommended. Specifically:
if you want to create signature packs, you'll need to have (at minimum) your parties set up.
if you're just using collate, you don't have to until you're uploading signed pages.

Can a signatory be a legal entity?
Can a signatory be a legal entity?
Not currently. Signatories can only be people. If you have a legal entity signing on behalf of a legal entity, we recommend simply using the name of the person signing for that legal entity.
