Uploading and matching signed pages

Learn how to upload signed pages and match them to their underlying document to speed up collation

After obtaining signed pages, it's essential to organise and store them correctly so when it comes time to collate, you're not trying to find files. This guide provides a step-by-step approach to uploading signed pages, matching them to their corresponding documents and signatories, and getting your document ready to collate.

Prerequisites: You're the Matter Admin or have the edit signing list permission for the specific list

Uploading and matching your signed pages

Step 1: Upload your signed files

Note: You can only upload PDF files less than 100mb

  1. Find the list containing the documents your signed pages belong to

  2. Go to the signing view

  3. Press Signed pages > Upload

  4. In the pop-up that appears, drag and drop files or press Add files to upload PDFs

  5. Press Match to documents when you've uploaded all your files

Step 2: Match signed page to document

  1. Select the page you want to match

  2. Go to the right hand panel

  3. Press on Search for a document

  4. Select the document the page belongs to

Note: This dropdown only shows all documents:

It also excludes any documents with a status of tagging

Step 3: Match signed page to signatories

When you select a document, we'll show all the parties and signatories set for the document. To match a signatory to a page, press on the relevant signatory to match them to the page.

When a signatory is matched to a page:

  • the thumbnail will change to include this green icon

  • the signatory status will change to signed

Tip: You can assign multiple signatories to a page

Updating parties and signatories

If a party or signatory isn't in this list, you've got a number of actions available to you.

Add party

  1. Press the button Add parties (underneath the final signatory)

  2. Select a party from one that exists (or create a new one)

  3. Once done, press Save

Add signatories

  1. Press the button Add signatories (either from the three dot menu or the text button)

  2. Select a signatory from one that exists (or create a new one)

  3. Once done, press Save

Remove party

  1. Press the three dot button next to the party name

  2. Press remove party from the menu

  3. Confirm removal in the pop-up that appears

Remove signatory

  1. Hover over the signatory name

  2. Press the bin icon

  3. Confirm removal in the pop-up that appears

Rename party

  1. Press the three dot button next to the party name

  2. Change the text and press enter or click outside

Rename signatory

  1. Hover over the signatory name

  2. Press the pen icon

  3. Change the text and press enter or click outside


Step 4: Finish matching

Once you've completed the steps above for every signed page, and are happy with your work, press the finish button in the bottom right of the screen.

You'll be taken back to the signing view, and you'll see that

  • The status of the signatories you matched to signature pages have changed to signed

  • We show the number of signed pages matched to each signatory


Reviewing signed pages matched to a document

Once your signed pages are matched to a document, it's helpful to review them and check everything is correct. To do this:

  1. Find the document you want to check

  2. Press Actions > Review signed pages

This will open all signed pages matched to your document. If anything's wrong, simply update the matching and press Finish.


Managing signed files

We provide a dedicate view for you to manage all the signed files you uploaded to a list. In this view, you can see all the signed files you've uploaded and take actions on them.

Viewing all signed files

Once you've uploaded signed pages to a list, you can see and manage all those files. To get there:

  1. Find the list containing the documents your signed pages belong to

  2. Go to the signing view.

  3. Press Signed pages > Manage

Once there, you'll see a list of all the signed pages. They'll have one of the below statuses.

Not matched

No signatories are matched to the file

Matching

Another user with matching signature pages in the file. You won't be able to take any actions on this file until they're done.

Matched

One or more signatories are matched to the file

We also give you some helpful information about each file

Indicates the number of signatories matched in the file

Indicates the number of pages with matched signatories / the number of pages marked as signature pages

⚠️ If the numbers aren't the same, it means you have some signature pages that aren't assigned to signatories. You should look into this!

Reviewing matches

To match, or review the matching, of files, simply:

  1. Select the files you want to review

  2. Press Review matches.

This will take you into the matching view, where you can make new matches or update existing matches.

Deleting signed file

If you uploaded the file in error, or simply want to get rid of it:

  1. Find the file you want to delete

  2. Press Actions > Delete

Caution: When you delete a file, any matches between the document, party and signatory you created are gone forever.
