Limitations

  • The size limit for signed uploads, with a maximum allowable size of 100MB

  • Larger files need to be compressed or split into smaller ones

  • You can only upload signed pages in PDF format


Preparation Steps


Step 1: Mark documents for signing

  1. In your list, mark documents for signing using the "Mark for signing" button.

  2. Once they are marked, open them in the "Signing view".


Step 2: Add parties

  1. Select who needs to sign the documents by clicking the "Add parties" button.

  2. Select the parties then click "Save". If you wish to create new parties (or amend them) visit this support article for more information.


Step 3: Create signature pack

  1. Select the document by checking the blue checkbox next to the title, then click "Actions" and choose "Create signature pack".

❗Please note: you won't be able to click "Create signature pack" if you don't select the document (click the blue checkbox).

  1. After the AI detects the signature pages, you can begin reviewing them by clicking the "Review" button.


Step 4: Allocate signatories

  1. If you only wish to review the pages that need signing, switch the button to "Signature pages only".

  2. Choose the signatories from the list on the right-hand side.

  3. If additional pages need signatures, assign the relevant signatories to those pages by clicking the "Next page" button.

  4. Once you've added the signatories and are satisfied with your document, click "Create signature packs".


Step 5: Download signature packs

  1. You can choose to "Include Documents" and "Rename Files" by ticking the blue checkboxes if you want to add these options to your signature pack.

  2. Click "Download" and your signature pack will be created.

  3. Signature packs are saved to your desktop. If you wish to save it again click the Save again" button.

πŸ“Œ Please note: Signature packs cannot be emailed or sent directly from Legatics. You will need to send them from your mailbox by attaching them to an email.

Step 6: Manage statuses

  1. Once your signature packs are created, the status will automatically update to "Extracted."

  2. After you send the signature packs from your mailbox to the signatories, you can update the document status to "Sent" by clicking the "Not Sent" button.

  3. This will automatically update the statuses for all signatories.

βœ… The Wet-ink symbol at the top next to the title indicates that this document is being signed manually, rather than using DocuSign.

Step 7: Uploading signed pages

  1. To upload the signed pages click the "Signed pages" button then select "Upload".

  2. Drag and drop your files or click "Browse for files"

  3. Once the documents are uploaded they will be marked with the progress bar as 100%.

Tips:

  • If you wish to upload multiple documents click the "Add more files or drop here".

  • You don't need to upload all the signed pages at once. Since pages may be signed at different times, you have the flexibility to upload them whenever you're ready.


Step 8: Match documents

  1. Click the "Match to documents" button.

  2. The AI feature detects the signature pages so when you are ready click the "Match" button to pair the signatures.

  3. Match the signatories (right-hand side) with the signed pages.

πŸ“ Tip: You can amend the signatories and carry out further actions to them by clicking the "three dots" and choosing from the following options ("Rename party", "Edit signatories" and "Remove party").

πŸ’‘A green symbol will appear below the documents when they are successfully matched with the signatures.

4. Click "Finish" in the bottom right hand corner to finalize the process.

5. A pop-up window will appear explaining the next steps - once you are happy click "Got it, thanks!".


Step 9: Collate documents

  1. The green "Ready to collate" status indicates that your documents are prepared for collation.

  2. Select the document by clicking the blue checkbox then click "Collate".

  3. Once it's ready, a pop-up window will appear with a prompt outlining the changes have been made and the next steps. Click "Edit documents" to review and complete the collation process.

  4. Delete any unsigned pages by clicking "Remove".

πŸ—οΈ Tips:

  • If you accidentally remove any pages, click the "backwards-facing clock" icon to restore them.

  • For a better layout to view all of the pages click the "Thumbnails only" button in the bottom-left corner.


Step 10: Annotate

  1. To add a date, click the "Date signed" button and choose the relevant date.

  2. Click on the page where you want to place the time stamp. (You can place the time stamp in multiple locations on the page.)

  3. To add additional text, click anywhere on the page and start typing. (You can add text in multiple locations on the page.)

  4. If you are happy with the changes click "Collate", in the bottom right-hand corner.

  5. A pop-up window will appear outlining the next steps. When you’re ready, click "Collate" again.


Step 11: Final review

  1. The status will be changed to "Signed".

⚠️ Note: The final document will be labelled as version 2, as a new PDF has been generated following the collation.

2. In the "List view" of your matter, the green signing icon will indicate that the document has been signed.

3. You can view the document by clicking on the file icon.


Further actions

We understand that not all documents can be signed and collated simultaneously. To help you manage these documents effectively, please follow the steps below.

  1. Click "Signed pages" then select "Manage".

  2. On this "Manage" tab you can see all the documents that you have uploaded and are not fully signed.

3. You can begin matching signatories or delete the document by clicking the "Actions" button and selecting either of the options.
