By default, Legatics manages the keys that encrypt your data. With BYOK, you manage the encryption keys used to protect your data, giving you more control and oversight of when and how these keys are used.

That means BYOK offers additional control and flexibility. This level of control can be especially valuable for organizations with strict internal security policies or regulatory requirements.

Reminder: Your data remains highly secure even without BYOK. Legatics uses industry-standard encryption protocols and best practices for encryption and key management to ensure that your data is fully protected.

Other improvements

  • Skeleton loading screens: We've replaced loading spinners with skeleton screens. Now, instead of waiting on a spinner, you'll see a preview layout while content loads, giving you a clearer sense of what's coming next.

  • Applying Word styles to templates: When you're setting up your Word template, you need to set the table and title styles. We've improved the behaviour here, so that now:

    • You can scroll in each field

    • You can search for a style

    • Table styles only appear in the table field (and same with the title field)

  • Separators to dashboard cards: Previously, the dashboard cards didn't have any separators (eg 100000 matters would display). We've changed this so separators appear depending on your device settings. For example, if you're from:

    • UK - you'll see comma separators (eg 1,000)

    • Europe - you'll see period separators (eg 1.000)

    • Nordics - you'll see space separators (eg 1 000)

Bug fixes

  • Resolved an issue where the font colour in Word templates was not consistently applied as expected

  • Fixed an issue where accessing the accounts page sometimes caused a "Something went wrong" error

  • Removed the ability to add an office with just a space in the name

  • Made your logo always appear on the accounts page after being changed

New "Source ID" field in matters report

We've added a new field called "source_id". This is a unique field that's expected to be empty for now. It's a preparation field for some future work on moving matters between instances.

Our iManage integration supports both Cloud iManage and iManage Work (hosted on the cloud or on-premises). We've now added support for subdomains on Cloud iManage (eg companyname.cloudimanage.com).

Previously, you could only test a Word template after you saved it. We heard how this was sub-optimal - if there was an error then users would see it in their downloads. So you would have to do your changes late at night.

Say goodbye to those late nights! You can now, prior to saving the template, download an example (using pre-configured dummy data) before users see the changes. Perfect for those who like to double-check before finalizing their documents!

Need to get the underlying Word template? No problem, you can now download this directly for edits or reuse - making it easier than ever to adjust and repurpose templates on the fly.

Other improvements

  • Unlimited Cloud iManage connections: We had a restriction that only let you add one Cloud iManage server. That impacted customers who had a staging Cloud iManage server. So we removed this restriction.

  • Copy matter ID: From the matters table, you can now copy the matter ID of the matter. The matter ID is a unique identifier for every matter, and really helpful if you need support on a matter.

  • Browser tab titles: To help you easily identify what page you're on in the admin system.

  • Browser favicon change: To help you easily check that you're in the admin system, we changed the favicon to yellow for the admin system so it's different from Legatics itself.

Previously, when a matter got deleted, it was permanently deleted. We've changed this approach. Now its:

  1. Delete matter: User or system admin deletes matter.

  2. Matter moves to bin: The matter appears in the new "Bin" tab of matters.

  3. Email notification: We send an email notification to all system admins notifying them about the deletion.

  4. 60 days to restore: System Admins have 60 days to restore the matter.

  5. Permanent deletion: If the matter isn't restored before the 60 days, Legatics will:

    1. Permanently delete the matter (except for limited metadata, which is used to power the data in the "Deleted" tab and your matters report)

    2. Move the matter to the "Deleted" tab of matters

We've always set up and managed these for you. You're now in control! This page helps you manage your offices, and rapidly see insights into how many matters they are leading and supporting on.

Info: We've added a new field for the location of an office. This is a fixed drop-down of all locations from ISO 3166.

Heads-up: You need to assign locations to offices. It won't take more than a few minutes!

Note: You'll get more data when you assign offices. Our matters report returns the name and alpha-2 code (eg GB) of each offices assigned to matters. This will help you create beautiful geo-spatial maps in data visualization tools like PowerBi!

We've always set up and managed these for you. You're now in full control! You can really make these templates stunning, so get started today!

Other improvements

  • Search for users by email: It's now even easier to find users and assign them roles.

  • Infinite scroll on users tables: Pagination say goodbye! Keep scrolling to see all users.

  • Accounts details: We get frequent requests from customers to understand where their data is located, and other information about their environment. This information is now available from one central place!

  • Logo: We apply your logo in certain places in the platform (eg your templates). We used to set this up for you, now it's in your control (from the account page)

  • Settings: We've always controlled these for you. You're now in control! Currently, the only control is the "consent required" checkbox. If you want more control, let us know!

  • Resources: We've consolidated all our resources into one helpful page. All the information you need to succeed is at your fingertips!

  • Design improvement to restricting integrations: Do you restrict integrations to specific users? If you do, then previously every user appeared in a small box. We've changed this, so every user appears on their own line.

Bugs squashed

  • Uninvited admins: If someone was added (but not invited) to the matter as a Matter Admin, then as System Admin you couldn't grant them access to the matter. That's now fixed. When you add a Matter Admin to a matter, we always trigger the invite.

Understand how your Members are logging in

We added a new column at the end of the CSV Users Report. This column identifies the log-in method for you Members (SSO or password). This information doesn't show for Guests.

So, if you don't have SSO on for everyone, this is a great way to quickly identify who is / isn't using SSO!

Integrate multiple iManage instances

You can now connect multiple iManage accounts to Legatics for an even more seamless integration with your DMS. When transferring documents between Legatics and iManage, your users can select which of your iManage servers that you'd like to use.

Bugs squashed

  • Deleted matters now appear in the deleted table as soon as you delete them, instead of only appearing after page refresh

  • Our success toaster now always shows when deleting a matter

You can now manage your integrations effortlessly. No more asking for us to setup and change your integrations. Now, with just a few clicks, you can configure, monitor, and optimize your integrations directly from the admin system. Specifically you can:

    • Add as many Docusign accounts as you want

    • Restrict those accounts to certain Members

    • Update the accounts at any time

    • Set the email templates to use for your accounts

    • Delete old Docusign accounts

    • Add an iManage server

    • Remove an iManage server

    • Edit the server details

    • Restrict the integration to certain Members

    • Add your SSO integration

    • Update your SSO details (helpful if your certificate is expiring)

    • Restrict the integration to certain Members

Bugs squashed

  • The activity report sometimes didn't give you all view logs. Now it does!

  • The number of matters viewable in the users report was sometimes different to what was displayed in the user table

  • The matters report sometimes displayed the number of matters that guests have created

Brand new administration system

Tip: This article explains how to access the system

Legatics already has an Administration System, which provides information about your matters and users. Since its launch in April 2022, we’ve heard requests for more data and more control over matters and users.

Our new administration system is designed to answers these requests! This isn't just a cosmetic upgrade, it's a strategic enhancement crafted to simplify your administrative experience and provide you with the features you need to manage Legatics.

Welcome to a new era of administrating Legatics. We hope you enjoy it.

Dashboard

You can now, in a single glance, get an understanding of how many matters and users you have on Legatics.

Overwhelmingly, customer demand has been focused on extracting data. To get these data extracts to you as quickly as possible, we’ve only included a simple dashboard in this version. We will expand this in the future.

Reports

We currently have a “Matters” and “Users” report. We’ve kept these reports, significantly expanded the datapoints available (25 extra data points for matters, 11 extra data points for users) and added the ability to download the reports in JSON (in addition to CSV, which already exists).

We’ve also added two new reports (downloadable in CSV and JSON), being:

  • Lists report - a JSON extract of certain data in a list

  • Activity report - a JSON or CSV extract logging every time someone viewed one of your matters

Finally, we’ve moved all the extracts into one convenient location.

Matters

We've significantly improved this page so that you:

  • Separate tables: Get separate tables for “Live matters”, “Demo matters” and “Deleted matters”

  • Extra datapoints: Have more information to understand your matters, including the number of documents and lists in the matter

  • Decide what data to see: Can decide what data you want to view in your table

We've also added a number of new actions to matters, so that you can:

  • Add matter admins to your matters

  • View matters to check up on them

  • Delete matters to keep your environment tidy

Users

We've significantly improved this page so that you:

  • Separate tables: Get separate tables for “Members", “Guests”, “Deactivated" and "Unassigned" users

  • Extra datapoints: Have more information to understand users, including the number of matters they've created

We've also added a number of new actions to users, so that you can:

  • Deactivate: stop anyone from accessing your data, at anytime

  • Assign permissions: easier assign permissions to one of your members

  • Manage unassigned members: who were created before your environment was set-up

Keep metadata when matter is deleted

Previously, when a matter was deleted, all data about the matter was deleted. We’ve changed this. Now, when a matter is deleted, limited metadata is retained about the matter (being all the data in your “Matters” report). This enables us to provide you with a historical record of all matters created in Legatics, and ensures core data is retained for your analytics.

Audit trail

We've added an extensive audit trail to the Administration System. This records all of the actions a System Administrator takes in the system. This ensures that any actions (like viewing a matter, adding a Matter Admin, or deleting a matter) are logged and can be interrogated at any time.

The audit trail is only downloadable as a CSV file. We don’t display the logs in the Administration System yet.

Email notifications for new matters

We know that you need to keep on-top of new matters. That's why every System Administrator now receives an email notification when a new matter is created.

Export data

All of the data about your Matters and User can now be downloaded into a CSV file! We hope that this helps you visualise how Legatics is growing at your company, and where the power users are!

More datapoints

We added some additional datapoints about your matters and users, specificallyL

  • Last activity (matters): The last date when any user viewed the matter or performed an action in the matter. This should help you identify what matters are in constant use!

  • Last active (users): The last date when your users had an active session on Legatics (ie the last time they were in the application)
